Example (fictional data)

Self-employed gas engineer, five landlord jobs on Thursday. At a two-bed flat he records the boiler and the hob, the combustion analyser readings and the CO alarm test, marks one appliance as at risk, and the record reaches the letting agent by email before he gets back in the van. A reminder goes to the agent eleven months later.

How it works

Under the Gas Safety (Installation and Use) Regulations 1998, landlords have to have the gas appliances and flues in their rented properties checked every twelve months by a Gas Safe registered engineer and keep a record of the check. For the engineer, every one of those visits ends with a landlord gas safety record — still often called a CP12 — that has to be filled in, signed and handed over.

Many engineers still fill the record on paper pads or on a generic form, then type it up or photograph it in the evening. Readings get copied twice, a missing detail means another trip, and nobody reminds the landlord when the next check is due — so the repeat work goes to whoever the landlord calls first.

The service puts the record on your phone. At the property you add each appliance — boiler, fire, hob, water heater — with its location, type and the checks you carried out: flue, ventilation, operating pressure or heat input, safety devices and the combustion analyser readings. CO and smoke alarms are recorded with the result of the test.

For each appliance you record the outcome — safe, at risk, immediately dangerous — and the action taken or advised. The record is checked as you go, so a missing reading or an appliance without an outcome is flagged before you sign.

When you finish, you sign on the screen and the record goes to the landlord, the letting agent or the tenant as a PDF, with your details and registration number. You keep a copy in the property's history without printing anything.

The next inspection date fills in twelve months on, and the landlord or agent gets a reminder before it is due, with a link to book you again. Repeat landlord work comes back to you instead of being lost when the paperwork is forgotten.

Every property keeps its history: past records, appliances, readings and the defects you found. When you return next year, last year's appliances are already listed, so the new record takes minutes rather than starting from blank.

Getting started takes one evening: your business details and Gas Safe registration number, your landlords and agents, and the properties you already look after, imported from a spreadsheet. It works in the browser and on your phone, nothing to install.

For a small firm, each engineer works from their own phone, and the office sees which records are done, which landlords are due and which defects need follow-up work.

The service is built for self-employed Gas Safe registered engineers and small gas firms. It is in preparation: we are checking whether engineers need it before it is built. The engineer remains responsible for the checks carried out and for the record they sign.
